This role will require the EA to go to the office 3 days per week and the office is in
Mississauga.
The OPPORTUNITY is with a client that is growing and is seeking an Executive
Assistant to support a C-level. This Executive is looking for a long-term partnership with
their EA. The Executive knows the value of an EA and the Executive wants someone
with initiative, strong interpersonal/communication skills, organizational skills and the
ability to multitask. In this role, you will manage complex and ever-changing calendar,
arrange meetings and plan travel, create and prepare documentation, correspondence
and presentations as well as plan events. This role will require the EA to help the
Executive with meeting material, documents and presentations for Board and
Committee meetings. This is an exciting role for an experienced and highly capable EA
who thrives in a busy and collaborative environment!
Responsibilities include:
- Manage a complex and constantly changing calendar, schedule meetings
and appointments with internal and external stakeholders. Ensure the
Executive is kept up to date of changing and urgent needs - Manage a busy inbox and flag urgent emails/action on emails, as required
- Book travel (flights, hotel and car service and provide a detailed agenda)
- Ensure the Executive has all meeting material well in advance of meetings
- Assist the Executive with preparing Board and Committee meeting materials
- Assist the Executive with scheduling for external Board meetings and ensure
the executive has all of the meeting materials - Draft and edit correspondence and prepare presentations for meetings
- Prepare spreadsheets for reports and manage data for reports and
spreadsheets - Plan, organize and coordinate offsite events, department meetings and town halls
- Prepare and submit detailed expense reports
- Collaborate and interact with direct reports/other departments when
preparing the meeting material for Board and Committee meetings - Manage confidential information (internal and external)
- Manage special projects including research, employee communications, and ad hoc projects as assigned by the Executive
Qualifications:
- Previous experience supporting a C- level Executive in large and dynamic
organization that has a fast-paced environment - Excellent time management skills with the ability to multitask and manage
competing priorities - Able to manage confidential information with discretion
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with Concur and SAP is an asset
- Completion of an undergraduate degree or college diploma is an asset
- Experience planning and coordinating events
- Accurate and detail-oriented with a strong work ethic
- Proactive and resourceful mind-set
